Spreadsheets are not the enemy. They're just misused.
In live event environments, teams often stretch spreadsheets beyond their intended purpose.
Spreadsheets were designed for structured data analysis — not dynamic orchestration.
That distinction matters more in the final seventy-two hours than it does in planning month. A tool that works beautifully for a budget review can quietly undermine a load-in when the floor plan, the call times, and the vendor contacts all live in the same fragile file.
Experienced producers know this tension. They keep spreadsheets because they are flexible, familiar, and free. They hit the wall when the spreadsheet becomes the only place the team agrees to look — and when that place cannot keep pace with the event itself.
Static Data vs. Dynamic Reality
A spreadsheet assumes information is relatively stable. But live events are fluid: Vendors adjust staffing. Sponsors request new placements. Permits shift requirements. Artists change technical needs.
Each change requires manual updating. Manual updating introduces risk.
The problem is not that teams fail to update. The problem is that updates happen in parallel — one person edits the shared file, another replies from a downloaded copy, a third texts a correction that never reaches the document. The spreadsheet becomes a lagging indicator of reality rather than a map of it.
Dynamic reality also means dependencies shift faster than rows can be reordered. A delay in rigging pushes lighting. Lighting pushes programming. Programming pushes catering's service window. The spreadsheet can record the new times, but it cannot show why they changed or who still has not been told.
Version Control Chaos
How many event teams have asked: "Is this the latest version?"
When multiple people edit a spreadsheet, confusion becomes inevitable.
Even with shared drives, accidental overwrites and outdated downloads happen.
In event week, one outdated document can create operational ripple effects.
The deeper failure is social, not technical. Nobody is certain who owns the authoritative copy. The production manager believes the shared link is current. The AV lead is working from a file emailed Tuesday night. The venue ops contact has a printout from the site walk. Each person is acting in good faith on different information.
"Latest" becomes a negotiation instead of a fact. Time that should go to problem-solving goes to reconciling which row is true. By the time the team agrees, the window to act on the correct data has often already closed.
Version control failure also erodes trust between departments. When catering discovers they staged to a superseded schedule, they stop trusting the next update until someone confirms it verbally — which reintroduces the same fragmentation the spreadsheet was supposed to prevent.
When the Spreadsheet Meets Load-In
Load-in is where spreadsheet-as-source-of-truth collapses most visibly.
A truck is early. A dock is blocked. A vendor needs an extra hour. The schedule in the spreadsheet no longer matches the curb. Someone updates one cell — or they don't, because they are on a radio and their laptop is in the production office.
Meanwhile, catering is still staging to the old window. Security is still staffing the gate for a call time that already slipped. Freight is still waiting for a hold that was verbally released twenty minutes ago.
When a static document is the only shared record, every live change has to be manually broadcast. Miss one person and you create a second timeline. Miss two and you create conflict on the dock.
Live events do not fail because someone forgot a formula. They fail when the system of record cannot absorb change at the speed change arrives.
The load-in floor is also where spreadsheet logic meets physical reality. A column can say "AV complete by 14:00" while the crew is still waiting on power. Until someone walks the floor and updates the room, the document lies quietly — and everyone downstream plans against the lie.
Vendor Dependencies
Events are systems of dependencies: Catering depends on load-in timing. AV depends on power layout. Security depends on site map clarity. Volunteers depend on check-in flow.
Spreadsheets list information. They don't model relationships.
A cell can say "catering arrives at 10:00." It cannot express that catering cannot arrive until power is live, and power cannot go live until the electrician clears the temporary panel, and the electrician is waiting on a permit amendment emailed that morning. Those dependencies live in people's heads — until the person who held them is on a call and unreachable.
When dependencies break, spreadsheets offer no alert — only a row that no longer matches what is happening outside. Producers compensate with radios, hallway conversations, and heroic memory. That works until the team is tired, new, or scaled beyond one person's capacity to hold the graph.
The Illusion of Control
Spreadsheets feel organized. Rows. Columns. Order.
But that order can hide fragility.
If only one person understands the logic of the document, the entire operation becomes dependent on them.
That's not resilience. That's risk.
The illusion deepens because spreadsheets look complete. Every vendor has a row. Every time has a cell. Leadership sees green tabs and assumes coordination exists. Operators know the tab is only as current as the last person who had bandwidth to edit it — and in event week, that bandwidth is the scarcest resource on site.
When Spreadsheets Work Best
Spreadsheets are excellent for: Budget tracking. Attendance forecasting. Post-event reporting.
They are less effective for: Live coordination. Real-time changes. Cross-functional collaboration.
The useful framing is not "spreadsheets bad" — it is knowing what must stay real-time and what can remain static.
Budgets, headcount forecasts, and historical reporting can live in a spreadsheet. They change slowly and benefit from structured analysis. Call times, load-in order, vendor status, site map revisions, and day-of contacts need a channel that updates once and is visible to everyone who acts on them — without a version hunt.
Real-time information is anything a department will act on in the next four hours: dock order, cue changes, staffing redeployments, guest comms, safety holds. Static information is anything that sets direction but tolerates a daily refresh: overall budget, vendor contract summary, marketing copy, sponsor entitlements.
Not everything needs a platform. A disciplined team with one editor and a published change log can run a complex show. But when multiple editors, multiple exports, and multiple channels compete to be "the sheet," the cost shows up as duplicate work, missed updates, and decisions made on stale rows.
Events don't fail because spreadsheets exist. They struggle when spreadsheets become the system instead of supporting the system.
